In high-volume correspondence, one error rarely stays singular. An incorrect file, a shifted address field or a missing duplicate rule can be repeated across thousands of items. The greatest savings therefore come from sound data preparation and pre-production control.

Pre-mailing checklist

  1. Purpose and deadline. Define when correspondence must be posted or delivered.
  2. Database scope. Confirm record count and recipient selection rules.
  3. Address quality. Remove empty fields, obvious duplicates and inconsistent formats.
  4. Document versions. Label language, product and regional variants clearly.
  5. Personalisation. Confirm recipient data appears in the correct places.
  6. Paper and envelope format. Match the document layout to the window and folding method.
  7. Production sample. Review representative items before the full run.
  8. Reporting rules. Agree which confirmations and summaries are required.
  9. Returns. Decide who updates the database after undelivered items.

Secure data transfer

Recipient data should only be transferred through an agreed controlled channel. Access should be limited to people involved in delivery, and retention periods agreed before production starts. Working files and production files should be separated and versioned unambiguously.

Why is a sample essential?

A sample validates content, print quality, address position, folding and envelope closure at the same time. This is the final stage at which a correction is inexpensive. Once the full run has begun, even a small change can require reproduction.

The best bulk-mailing process is repeatable: it has an approved input file, sample control, measurable stages and a final report. Each subsequent campaign can then be prepared faster and with fewer exceptions.
